How Pione handles personal data when you visit pione.ai, book a demo or use the Pione app, including data from a connected Google or Microsoft mailbox.

Last updated: 15 October 2026

Who is responsible

Tourn International AB (publ), reg. no. 556800-7461, Sturegatan 4, 114 34 Stockholm, Sweden (“Pione”, “we”) is the data controller for the personal data described here. Questions about privacy: hello@pione.ai.

What we collect when you book a demo

Your name and work email (required), and optionally your company, phone number and a note about what you're looking for. We also store the time you booked, your time zone and your language.

We use this to schedule and hold the demo, send the confirmation and calendar invite, let you reschedule or cancel, and follow up about Pione. The legal basis is our legitimate interest in responding to your request (GDPR art. 6.1 f).

When you email us

If you write to hello@pione.ai we keep the conversation to answer you and for our records.

When you use the Pione app

When your organisation uses Pione, we store your name, work email, language and role, and what you add in the app: campaigns, instructions to the agent and the emails you approve. We use this to provide the service under our agreement with your organisation (GDPR art. 6.1 b) and to keep it secure (art. 6.1 f).

Connecting a Gmail or Microsoft 365 mailbox

You can connect a mailbox so that Pione sends the outreach emails you approve from your own address. For a Google account, Pione asks for three permissions: send email (gmail.send), read email (gmail.readonly) and see your email address (userinfo.email). For a Microsoft 365 account, Pione asks for the matching permissions (Mail.Send and Mail.ReadWrite).

Pione uses these permissions only for these tasks. Your email address identifies the connected mailbox in Pione. The send permission sends the emails you have approved in Pione, at the times your schedule allows. The read permission lets Pione open only the email threads that Pione itself started, to see if the recipient replied. When there is a reply, Pione stores the time and the text of the reply, so that you and your team see it in Pione, and in your HubSpot if your organisation has connected HubSpot.

Pione does not read, store or index any other email in your mailbox, and does not use your contacts or calendar.

The access tokens are stored encrypted (AES-256-GCM). Only the Pione service that sends email uses them.

You can disconnect the mailbox in Pione at any time. For a Google account, Pione then revokes its access at Google. You can also remove Pione's access yourself at myaccount.google.com/permissions.

Google user data

Pione's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We do not use Google user data for advertising, we do not sell it, and we do not use it to develop, improve or train AI or machine learning models. We do not send Gmail data to any AI service.

We share Google user data only with the service providers that host Pione (listed below), and with your HubSpot if your organisation connects it. People at Pione do not read it, unless you ask us to for support, it is needed for security or to comply with the law, or the data is anonymised and aggregated for internal operations.

Cookies

The website uses only strictly necessary cookies: pione-lang remembers the language you chose, and the sign-in cookies are used only when you log in to the Pione app. We don't use analytics or advertising cookies, so there is no cookie banner.

Who we share data with

We use service providers that process data on our behalf: Vercel (web hosting), Railway and Hetzner (background services), Neon (database) and Resend (system and booking emails). The agent uses Google Gemini and Anthropic Claude (AI), and SerpAPI and Firecrawl (web search), on public company information and your campaign instructions, never on Gmail data. We don't sell personal data. Where data leaves the EU/EEA, it is protected by the EU Standard Contractual Clauses or an equivalent safeguard.

How long we keep it

Booking details are kept for 12 months after the demo, or longer if you become a customer.

Account data and replies stored from a connected mailbox are kept while your organisation uses Pione. Mailbox access ends when you disconnect the mailbox.

You can ask us to delete your data earlier at any time.

Your rights

You can ask for access to, correction or deletion of your data, object to or restrict how we use it, and ask for a copy (data portability). Email hello@pione.ai and we'll reply within one month. You can also complain to the Swedish Authority for Privacy Protection (IMY), imy.se.

Data the Pione agent finds for customers

When customers use Pione, the agent finds publicly available business contact information on their behalf. For that processing, our customer is the controller and Pione acts as processor under a data processing agreement. If you've been contacted and want to know more or opt out, email hello@pione.ai.

Changes

We'll update this page if anything changes and note the date above.
